POSITION TITLE

Shareholder Office Coordinator 

 

POSITION OVERVIEW

The Shareholder Office Coordinator will assist with the administration of the day-to-day operations in the Shareholder Office. 

 

JOB RESPONSIBILITIES

• Providing administrative support to management team of tax and accounting professionals 

• Communicating with customers and delivering accurate material in a timely manner 

• Processing, creating, and issuing invoices for customers 

• Collecting and recording incoming and outgoing payments 

• Assisting in implementation and maintenance of files, both hard copy and electronic 

• Responding to ad hoc requests for data in a timely manner, continuously seeking efficiencies in the way work is processed, ensuring all information is reported consistently, accurately, and timely. 

• Assisting with planning efforts for various meetings  

• Copying, mailing, tracking of confidential documents, and following up with customers 

• Working successfully in a team environment 

 

QUALIFICATIONS – REQUIRED

• Prior experience in a similar role 

• Experienced in handling confidential information

• Ability to exercise excellent judgement and discretion with confidential matters

• Proficient Microsoft Excel and Word skills, including formulas and familiarity with complex spreadsheets

• Ability to communicate clearly, both orally and in writing

• Ability and initiative to work independently

• Ability to effectively read and interpret information, present numerical data in an effective manner and skillfully gather and analyze information

• High attention to detail and strong organizational skills, planning and time-management skills, and the ability to problem solve

• Ability to build relationships with customers and management
