POSITION OVERVIEW
The Executive Assistant to the CEO and President is a highly visible, trusted partner at the center of the organization’s leadership and decision-making. This individual will elevate the effectiveness of the CEO by strategically managing time, priorities, information, and key relationships; anticipating needs and ensuring critical commitments move forward with pace and precision. With broad exposure across the company, the CEO’s Executive Assistant will serve as a key liaison to senior leaders and the company’s Board of Directors, in addition to internal and external stakeholders. JOB RESPONSIBILITIES
- Maintain a comprehensive understanding of strategic priorities, key relationships, commitments, and evolving business needs.
- Manage a complex, dynamic calendar, across multiple time zones.
- Anticipate the CEO’s needs, identify potential issues early, and proactively recommend solutions that enable efficient decision-making and seamless execution.
- Serve as a primary liaison between the CEO and senior leaders, Board members, employees, customers, business partners, and other internal and external stakeholders, representing the executive office with professionalism and discretion.
- Coordinate executive leadership, Board-related, customer, and external meetings, including scheduling, agendas, pre-reads, presentations, technology, facilities, catering, and other logistics.
- Prepare concise, accurate briefing materials, background summaries, talking points, reports, and decision-ready information to ensure the CEO is fully prepared for meetings, presentations, and external engagements.
- Draft, edit, and manage executive communications, correspondence, presentations, and reports on behalf of the CEO, ensuring consistency of voice, accuracy, confidentiality, and executive-level quality.
- Screen, prioritize, and respond to incoming requests and communications; route matters appropriately and ensure timely, thoughtful follow-through.
- Plan and coordinate complex domestic and international travel, including detailed itineraries, accommodations, ground transportation, meeting logistics, required documentation, and contingency plans.
- Work collaboratively with the internal aviation team to facilitate corporate travel.
- Prepare and submit accurate expense reports, invoices, and related administrative documentation in a timely manner and in accordance with company policies.
- Maintain highly confidential executive records, files, contact information, and sensitive business materials with exceptional discretion, organization, and attention to detail.
- Partner closely with the executive leadership team, other Executive Assistants, and cross-functional colleagues to strengthen communication, coordinate priorities, and ensure an effective operating rhythm across the organization.
- Support leadership meetings, strategic planning sessions, offsites, shareholder events, and other high-profile engagements from planning through execution and follow-up.
QUALIFICATIONS - REQUIRED
- 3+ years of experience supporting a Senior Executive (preferably a CEO) in a complex, diversified company.
- Experience coordinating for, and liaising with, a Board of Directors
- Strong proficiency in Microsoft Office (Outlook, Excel, Word, Teams, PowerPoint) suite
- Impeccable attention to detail
- Strong time management skills and ability to meet deadlines
- High level of integrity and confidentiality
- Ability to work under time pressure and keep composure
- Team player with positive attitude
- Experience working with a global team
- SAP Experience or similar business platform
This position is located at in Spartanburg, SC. Normal work hours are Monday through Friday, 8:00 a.m. – 5:00 p.m. but role will require flexibility. Although eligible for hybrid work, the role’s weekly schedule will be driven by the CEO’s calendar.
